Special Assistant to the CEO - YES Prep System Office (June 2019)

LOCATION: Houston, Texas  

POSITION TYPE: 12-month

 

THE CHALLENGE 

Across the nation, only half of all students from low-income communities graduate from high school and only 10% earn a college degree. Even though 85% of our students are economically disadvantaged,YES Prep provides evidence that different outcomes are possible. Eighty-seven (87%) of YES Prep alumni matriculate to college within one year and alumni like Eddie Zapata are earning their college degrees at five times the rate of their peers with similar socioeconomic backgrounds. How do we do this? Each of YES Prep’s 18 campuses serves 6th-12th graders like Monique Bowie. Students typically enter YES Prep one or more grade levels behind, but quickly find themselves on a different life trajectory. This is a result of transformative relationships with teachers and leaders, and access to excellent educational opportunities. 

THE OPPORTUNITY 

YES Prep needs a dynamic, Special Assistant to the CEO, with a diverse set of experiences to make our mission a reality. As a YES Prep employee, you will achieve jaw-dropping results, create pathways to opportunity for our students, build transformative relationships, and eliminate educational inequities to advance social justice.  

To put it simply, you will play an integral role in achieving our mission by supporting the CEO and Team 2020, the YES Prep executive leadership team through day to day functions and key organizational projects and processes. 

THE ROLE 

This role demands seemingly paradoxical characteristics in order to achieve success. 

  • You must be a sprinter (ready to move at a moment’s notice and react to changing environments in the short term) AND a marathoner (in it for the long haul and ready to put in work and systems to get long term results).  

  • You must be a left tackle (the person who protects the QB from being blindsided) AND the offense itself.  

  • You must be the catcher (the often-overlooked strategic brains on the field) AND the batter who is tasked with sacrificing him/herself in order to advance the other runners. 

The most successful candidates will portray the following attributes and possess the following skills and talents: 

STRATEGIC STEEL TRAP 

  • Overseeing and managing a wide variety of highly prioritized projects, as well as complete ad-hoc projects, requests, and analysis; 

  • Designing and managing the preparation process for quarterly Board of Directors meetings and retreat as well as cyclical communications with the Board; 

  • Managing the development of documents, timelines, and systems for tracking evaluations for members of the Executive Leadership team; 

  • Providing “gut checks” to the CEO and other members of the Executive Leadership Team, proactively mitigate risk; 

  • Strategically managing meetings and events for the CEO to optimize organizational performance; 

  • Focusing on internal projects and initiatives to support future growth; 

  • Filtering student, staff, parent, and community concerns and questions to the CEO; 

SOLUTIONS-ORIENTED COMMUNICATOR, CONNECTOR & SYSTEMS-THINKER 

  • Providing a strong link between the CEO’s office and other departments within the organization, including through peer management of the executive support team through regular meetings and serving as liaison between them and Team 2020; 

  • Providing a strong link between the company and external parties, as a representative of the CEO in dealings with both internal and external communications; 

  • Creating executive communications and presentations for a number of internal and external forums; 

  • Managing highly confidential discussions and maintaining trust within all interactions and ensuring that the confidentiality extends to the executive support team; 

  • Providing feedback in alignment with the CEO’s organizational vision, mission, and leadership; 

  • Preparing all materials related to Executive Leadership Team, relevant Board meetings, and professional learning events; 

  • Collaborating on and designing effective systems to measure quality of initiatives, such as meetings, retreats, and professional learning opportunities; 

  • Collaborating with the Communications team on regular internal communications efforts; 

  • Managing CEO communications and time in accordance with organization priorities;  

PROBLEM-PREEMPTING UTILITY PLAYER 

  • Conducting research, analyzing and interpreting information, problems and proposals to ensure objective and complete information is provided to the CEO for decision making; 

  • Arranging and participating in organizational meetings; taking minutes, providing advice regarding strategic issues, and conducting follow-up correspondence; 

  • Attending all pertinent events where YES may need to be represented; 

  • Creating and managing efficient and effective systems for fiscal management to assist the CEO; 

  • Ensuring yearly compliance for the CEO as outlined by the state of Texas; 

  • Performing additional duties as assigned.

MUST HAVES 

  • Bachelor’s Degree from an accredited four-year educational institution 

  • Ability to commit to the role for a minimum of 2 years along with a commitment to a long exit ramp, so as to be able to assist in hiring and onboarding the next Special Assistant 

  • A record of achievement in previous work 

  • Knowledge of technology including Outlook, Excel, PowerPoint and Word 

  • Experience serving in events as a coordinator 

  • Demonstrated ability to maintain confidentiality  

  • Initiator, problem-solver, and creative thinker; Detail-oriented  

  • Ability to perform a variety of tasks, often changing assignments on short notice, with little to no direction 

  • Ability to work urgently in a fast-paced and results-oriented environment 

  • Ability to anticipate and prepare for upcoming meetings, events and project milestones 

  • Ability to communicate effectively and appropriately with others, outstanding skills in relationship building, oral and written communication, interpersonal relations and problem solving 

  • Ability to analyze complex data 

  • A dedication to learn, grow, and develop as a professional

  • Experience in education, ideally in the classroom

  • Compensation – This position is an exempt, salaried position; salary offers commensurate with experience.
