Operations Special Projects Coordinator - YES Prep System Office (IMMEDIATE OPENING)

Across the nation, only half of all students from low-income communities graduate from high school and only 10% earn a college degree. Even though 85% of our students are economically disadvantaged, YES Prep provides evidence that different outcomes are possible. Eighty-seven (87%) of YES Prep alumni matriculate to college within one year and alumni like Eddie Zapata are earning their college degrees at five times the rate of their peers with similar socioeconomic backgrounds. How do we do this? Each of YES Prep’s 18 campuses serves 6th-12th graders like Monique Bowie. Students typically enter YES Prep one or more grade levels behind, but quickly find themselves on a different life trajectory. This is a result of transformative relationships with teachers and leaders, and access to excellent educational opportunities.

As the first minority-majority city, Houston’s schools cannot keep up with demand from students like Eddie and Monique. Houston is the 4th largest city (on track to become the 3rd), and this booming population translates into 2,000 families on YES Prep’s waitlist. YES Prep’s student enrollment is estimated to grow 31% between now and 2023 (from just over 13,000 students currently to 17,000).


YES Prep needs a dynamic Special Projects Coordinator, with a diverse set of experiences, to make our mission a reality. To put it simply, you will play an integral role in maximizing the efficiency of the Chief Operations Officer and the Operations and Information Systems team by providing a high level of administrative and operational support.


When you join the YES Prep team, some of the exciting work and responsibilities will include:

  • Managing the weekly and monthly calendar of the COO to assist with project management;
  • Assisting organizing the administration and logistics of the Operations and Technology teams;
  • Leading and coordinating preparation efforts for Board and Committee meetings;
  • Compiling and submitting monthly reimbursements for the COO;
  • Securing travel arrangements for the COO, including transportation, lodging, and trip itineraries;
  • Being a first point of contact for the COO regarding meetings, professional learning logistics, and communication around timelines and status updates;
  • Building individual and team processes for logistical and operational success;
  • Assisting with planning and coordination of team meetings and agendas, including creating effective presentations, taking useful minutes, researching and proposing agenda items, etc.;
  • Overseeing and managing a variety of high-priority projects, as well as complete ad-hoc projects, requests, research, and analysis;
  • Focusing on internal projects and initiatives to support future growth;
  • Collaborating with appropriate cross-functional team members to support internal communication efforts;
  • Creating and managing efficient and effective systems for budgeting costs associated with team meetings;
  • Serving as the budget coordinator for the team by compiling and tracking budget projections and expenses;
  • Owning and project managing internal marketing and communications campaigns for the team as needed;
  • Assisting with analyzing and preparing reports using Excel and other tools;
  • Maintaining distribution lists, SharePoint sites, and internal access control to documents for Operations and Technology team; and
  • Additional duties as assigned.

  • Minimum three years of experience in an administrative or operations role
  • A record of achievement and accuracy in previous work

  • Frequent prolonged and irregular hours of duty, including evenings and weekends


  • Bachelor’s Degree from an accredited four-year educational institution
  • Two to three years’ experience in a school environment, either in an instructional role or in a supporting role (e.g., operations coordinator, registrar, etc.)


  • Compensation –This position is a non-exempt, hourly position; our compensation offers commensurate with experience.
  • Health and Supplemental Insurance –  A $0.00 medical option that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Short and Long Term Disability, Pet Insurance, Life, etc.
